Ticketing Dashboard

The Ticketing Dashboard is where you manage every aspect of Apollar’s ticketing system — from global options that affect all tickets to fine-tuned category settings with AI assistance, modals, and transcripts.

Overview

On the left side of the Ticketing Dashboard, you’ll find the sidebar displaying your ticket categories. You can click the + icon to create a new category, or select existing ones to edit their settings. At the top of this list are your Global Settings, which apply to all ticket categories.

Global Settings

Global settings affect the entire ticketing system. They define how tickets behave across all categories.

Ticket Behavior

Enable or disable ticketing, auto-delete closed tickets, allow members to close their own tickets, enforce one ticket per category, enable staff ticket claiming, and toggle the close confirmation modal.

Categories & Roles

Set the Closed Tickets Category where completed tickets are moved, and define a Default Ticket Role that grants access to active tickets (e.g., Ticket Team).

Ticket Message

Configure the initial ticket creation message: select the target channel, customize the embed’s title, description, thumbnail, image, and add embed fields. This message serves as the entry point for users to open new tickets. Do note it takes ±15 seconds for the message to update in discord.

Ticket Category Settings

Each category has its own set of configuration tabs. Once a category is created, you can open it from the sidebar and customize it across multiple sections.

General

Define the category’s name, description, emoji, ticket prefix, and the Discord category where its tickets will appear. You can also assign Support Roles that grant access to tickets in this category.

Messages

Customize the Open Ticket Message that appears when a ticket is created. You can use placeholders like {user} or {server} to personalize the message. Example:



Dear {user}, thank you for opening a ticket. Our AI assistant will do its best to help you. If it’s unable to provide a solution, a member of our support team will step in to assist you further.

AI Assistant (Premium)

Exclusive to premium users. Activate the AI assistant and provide a custom AI prompt describing how it should handle tickets in this category. Optionally, enable staff mentions and select which roles the AI should ping if it requires human assistance. You can also enable AI Learning to let the AI analyze how staff handle tickets and improve future responses.

Modal Form

Enable the modal form so users fill out a form before creating a ticket. You can define the modal’s title and add fields with options such as label, placeholder, field type, minimum and maximum characters, and whether the field is required. Once configured, click Add Field to include it in the form.

Transcripts & Logging

Enable transcripts to automatically log closed tickets. Choose a Transcript Channel where transcripts are posted, and optionally send a copy to the user’s DMs. Transcripts are hosted on the Apollar website for easy access. You can also enable Ticket Logging to record important actions and specify a log channel.

Saving Changes

Any modifications you make to the dashboard will prompt a popup at the bottom of the screen. You can click Save to apply your changes, or Discard to revert them.

Next Steps

Once your ticketing system is configured, test it directly from your Discord server. Open a test ticket to verify your roles, messages, and AI assistant responses are functioning as expected. You can manage all ticket data from the Apollar Dashboard.
